Termination Process - Hardware

  1. Verify the equipment that the Term has:
  • Pull Adobe Sign on the original term ticket
  • Also, double-check for the equipment in Manage
  • Verify Encryption verify encryption
  • If the laptop is reusable, send it to Atlanta. If not, send to ERI (5520's, 5530's, 5330's, surface 4's not reusable)
  • If the dock is compatible with the current standard, ship to Atlanta
  • DO NOT ship back peripherals (monitors, kb/mouse, headset, small printers)
  1. Setup Shipping:
  • Is the equipment to be reused?
  • Yes - Then send to Atlanta
  • No - Send to ITAD vendo
  • If equipment is going to ITAD, create an ITAD order and add the shipment ID to the label. Then, create an ITAD ticket (simply select the correct Tag and add to ticket, it will create the new ticket), then add shipment ID and tracking to the ticket
  • If the term has boxes, create a UPS label
  • If the term doesn't have boxes, create a FedEx RMA
  • Add RMA (for FedEx setup) and tracking number in the ticket
  1. Send Term Email:
  • Link to Outlook template: longsdrugs.sharepoint.com
  • Use the template to send an email to the termed employee requesting company equipment return
  • Include what we are expecting for them to return and what they can keep
You will need to remove your signature manually before sending the email
  1. If equipment is reusable, assign an internal warehouse tech at the location to which the equipment is being sent.
  2. Warehouse staff steps:
  • Note each item received in the ticket, including SNs (One update, please)
  • Verify what is in the boxes matches what the box says. (If not, put a note on the outside of the box)
  • Verify that all items work
  • Update all items in Asset Manager to be assigned to your warehouse and select the correct status.
  • Double-check with the procurement team to verify that the equipment is reusable
  • Wipe all computers being reused
  • Submit Meriplex Ticket
  • Move the computer to disabled computers OU
  • Remove the hard drive for non-reusable PCs or use BitRaser
  • Verify that the power cord for each item is in the box with the device
  • Clean each device with wipes, goo gone, scuffs, etc. If damaged, then put in the eWaste/ITAD pile.
  • Update Asset Manager appropriately with where device is, if being reused or retired.
  •  Disable the computer and then move computer to disabled computers OU
  • Notify procurement team member when you have completed the steps above.
  • If LTE or MiFi is included - add Tier 2 to the ticket so the item can be suspended in the Verizon Portal
  • Check steps 6 and 9 through 11
  1. Remove from VPro:
  • Follow the steps in the ​HelpDocs​ for resetting and removing the device from vPro if reusing the device.
  • If it is going to be sent to ITAD do the following:

a) Login to vPRO/EMA (Use Onprem AD Admin account)

b) Go to Managed Endpoints

c) Enter the device name in the search box as in #1 in the screenshot below.

d) Click the check box next to the desired device in #2 in the screenshot below

e) Select Stop managing endpoint, #3 in the screenshot below

f) Confirm that you want to stop managing by selecting Take Action. It will be removed from vPro at that point.

  1. Submit Meriplex Ticket.
  2. Move the computer to disabled computers OU.
  3. (Warehouse Team) Broken Items:
  • Monitors, keyboards, mice, etc., set aside to be picked up by ewaste
  • PCs and Laptops, verify that it was encrypted - See Encryption Verification document for the process.
    If you cannot get the device turned on before shipping it, then reach out to Marshall for approval to use the report in Intune. This is a LAST resort and must have Marshall's approval on the ticket. To do this, do the following:
    a) Get a screenshot from

  1. (Warehouse Team) Laptops and Desktops that will be REUSED:
  • Do a factory reset
  • Put provisioning USB in the device, restart
  • QC like any other device - Add the QC task list to the ticket
  • Rename device - Use ARX-SpareLT0x Or Sparedsk0x)
  • Put into the IT OU until it is assigned
  • Fix the device name in Kaseya
  • Move to pmq-group.avitarx.corporate.it.corporate-systems.computers in Kaseya
  • LTE? Send info to Shannon to suspend service in Verizon
  1. Update the Asset in Asset Manager:
  • If being reused:

-Warehouse staff, go through Article - HelpDocs

  • If being sent away for ITAD:
    - Set status of Retired
  • Update the Model # if blank
  • Update Tag # if blank
  1. Update the ticket with something like this.
    Removed from vPro
    Kaseya removal ticket #586365
    Removed from InTune
    Removed from Entra
