Printer VLAN Update Guide

Pre-Call Preparation
Step 1: Update GPO
- Prior to starting the site call, update the Group Policy Object (GPO) to include the new VLAN IP addresses for printer ports.
- Confirm the policy has replicated successfully.
- Update Laser printer Firmware the night before if possible
On-Call Prep
Step 2: Identify Initial Workstation
- Ask the PIC (Person in Charge) which workstation they want to start with.
- Use this workstation for initial printer testing and validation.
Step 3: Identify Printers Requiring Firmware Updates
- Determine which printers at the site require firmware updates.
- Begin updating those printers using the latest approved firmware version.
- Allow firmware updates to fully complete before proceeding.
TSC Printer Configuration
Step 4: Access TSC Printer GUI
- After firmware update completes, identify the current IP address assigned to the TSC printer.
- Enter the IP address into a web browser to access the printer GUI.
Step 5: Update Printer Settings
Within the TSC printer GUI:
- Update Label Dimensions as required.
- Set Print Type to Direct Thermal.
- Change the printer IP address to the new VLAN IP.
- Save/apply changes.
Step 6: Verify Network Connectivity
- Check whether the new VLAN IP becomes active.
- If the IP is not reachable:
- Escalate to Alex / Infrastructure to bounce the switch port if needed.
Step 7: Update Printer on Workstation
- Once the new IP is confirmed active:
- Access the printer GUI using the new VLAN IP.
- Update the printer IP settings on the workstation.
- Since the GPO was updated earlier, the printer port should already exist.
- If the port is missing, manually add a new TCP/IP port using the new VLAN IP.
Step 8: Site Validation
- Have the site test the updated printer via Pioneer.
- Confirm successful printing.
Laser Printer Configuration
Step 9: Update Laser Printer IP
- Update the laser printer’s IP address to the new VLAN IP.
Step 10: Validate Laser Printer
- Confirm the new IP is:
- Reachable via the printer GUI
- Responding to ping
- Update the printer configuration on the workstation to point to the new IP.
Receipt Printer Configuration
Step 11: Determine Network Status
- Identify whether receipt printers are networked.
- If networked, access the printer GUI.
Step 12: Access Epson Receipt Printer GUI
- For Epson printers:
- Username: EPSON
- Password: Printer Serial Number (SN)
Step 13: Update Receipt Printer IP
- Update the printer IP address to the new VLAN IP.
- Confirm:
- GUI access using the new IP
- Successful test print from Windows
Repeat and Closeout
Step 14: Repeat for All Devices
- Repeat the above steps until:
- All computers are updated
- All printers are updated and tested
Step 15: Documentation
- Update the Firmware Tracker with:
- Firmware versions applied
- New IP
- Completion status
- Mark the site complete in:
- Smartsheet
- Firmware Tracker
- Project ticket
- Update Project ticket
- with notes and follow up statues
- After last follow up the following week we can close the ticket
Step 16: Post-Migration Follow-Up
- After one full day of site usage:
- Check back in with the site
- Confirm all printers and workflows are functioning as expected
