Detailed Printer Troubleshooting Checklist:

Please turn off the printer and reboot the workstation or laptop. Once connected, turn the printer back on. If the printing issue persists, then try the steps below.
  1. Basic Power and Connection

Power: Ensure the printer is plugged into a working power outlet and the power switch is on. 

Connection: Verify that the printer cable is securely connected to both the printer and the computer. (Recommend unplugging and plugging both ends to verify; it could have come loose.)

Wireless: If using a wireless connection, ensure both the printer and computer are connected to the same network and that the wireless connection is enabled on both devices. (does not apply to onsite printers, maybe remote workers.)
  1.  Printer Status and Readiness:

Display: Check the printer's display for any error messages or status information. Follow any on-screen instructions to resolve the issue. 

Ready: Ensure the printer is showing a "Ready" or "Idle" status before attempting to print. 

  1. Paper and Toner:

Paper Tray: Verify the paper tray is loaded with the correct paper type and size, and that the paper is not jammed. We recommend removing the stack of papers, resetting the paper guides, and reinserting the paper into the tray.

Toner Cartridge: Check that the toner cartridge is properly installed and has sufficient toner.

If your company does not have an automated counter in place that auto-ships cartridges upon notification of Low Toner, Drum or Maintenance Kit replacement, then consider removing and shaking the cartridge to redistribute the toner.

TIP: It might be helpful to keep a log documenting when you need to replace the toner(s). This allows you time to order before you run out and are down to one.
