General Use Guide

Teams Meetings 

Scheduled Meetings:

  1. Add PlanoBoard@avitacaresolutions.com as a participant on the Outlook calendar invite. 
  2. On the boardroom’s control panel, touch the meeting’s Join button.

Impromptu Meetings: 

  1. On the boardroom’s control panel, touch the Meet Now button.
  2. Use the panel to Invite Participants 

a. Use participants’ email addresses or, 

b. Use participants’ phone numbers for voice-only conferencing.

Zoom Meetings 

Note: The Board Room can only JOIN pre-existing Zoom calls.

Joining Zoom Meetings: 

  1. On the control panel, press the “Join with an ID” button. 
  2. Change the Meeting Type to “Zoom.” 
  3. Enter the Meeting ID. 
  4. Enter the Meeting Passcode. 
  5. Enter the meeting. 

Presenting and Sharing Content 

Teams Meetings or Zoom Meetings: 

  • The presenter should join the meeting on their laptop. 
  • The presenter should MUTE their computer’s microphone and speakers (or do NOT join audio).
  • Share content from their laptop.
Note: For the best user experience, do NOT use the HDMI cable to display the content. 

In-person-only Presentations: 

Option 1: Use Teams meeting (Recommended) 

  • Follow the steps above to use Teams to host the meeting wirelessly.

Option 2: Use HDMI cable. 

  • Plug in the HDMI cable to the presenter’s laptop.
  • On the boardroom control panel, press the “Share” button.
  • Press “Duplicate Content” to display the content on both screens, if desired.
